70% Reduction in Scheduling Time. Built by 3 People.
Founder Context
Series C digital health team · constrained internal capacity, regulated vertical
How a constrained team replaced a tangle of legacy scheduling systems with one HIPAA-compliant clinical workflow platform — in 18 weeks.
The Founder Situation
A digital health team had a real clinical-workflow problem and no internal capacity to ship the fix without delaying two parallel roadmap commitments. Doctors were spending 20–30 minutes per patient on calendar coordination across three legacy scheduling systems that didn't talk to each other. This isn't a typical idea-stage MVP — but the shape is the same. A small team. A constrained timeline. A real outcome that had to ship.
Why We Were a Fit
The product team needed an external squad that could own the build for 18 weeks, ship a HIPAA-compliant unified platform, and hand it back to internal ops. Not a long-term retainer. Not a body shop. A scoped, accountable build with senior judgment on the parts that mattered.
How We Shipped It
- Roadmap mapped the legacy scheduling logic, the consolidation, the EHR integration sequence, and the HIPAA scope
- Working demos every Friday on a real staging environment, accessible to clinical staff for feedback
- Pilot rollout: 20 doctors in week 14, 60 in week 15, 200 in week 16 — caught the failures that would have looked great in a demo
- AI-paired delivery on EHR adapter scaffolds, audit-log boilerplate, and unit tests; senior reviewed every line
- HIPAA audit prep, runbooks, and transition planning baked into weeks 16–18, not bolted on at the end
What We Built
A 3.5-person team — one senior engineer with 8+ years in healthcare systems and HIPAA-regulated environments, one builder paired with AI tooling, one fractional clinical-workflow designer, and the studio founder as product partner. Unified scheduling core. Epic and Cerner adapters. Doctor-facing UI designed for minimum clicks per scheduling action. HIPAA-grade audit logging. Deployed to 200 doctors with zero unplanned downtime during the migration.
What This Means for Your MVP
If your MVP is in a regulated space — healthcare, finserv, government — or has serious systems integration on the critical path, this is the closest analog in our work. HIPAA-compliant from day one, not as an afterthought. Real EHR integration, not API-call-and-pray. AI-paired delivery scales to serious projects when senior judgment lives where it should. The Founder MVP shape can absolutely deliver on this kind of work.
- 70% reduction in scheduling time, measured on day one
- 200 doctors live in 18 weeks · 4 legacy systems consolidated
- HIPAA audit passed at launch · zero open findings
- Clean handover to internal product team at week 18
- Same-day schedule changes enabled — previously a 48-hour minimum
